Landlord HVAC Responsibilities

Tenants are responsible for: changing air filters (if the landlord provides them) and reporting issues promptly.

Cost-Effective HVAC Choices for Rentals

For rental properties: choose reliable, simple equipment (single-stage gas furnaces are more reliable and cheaper to repair than modulating heat pumps). Use basic programmable thermostats (smart thermostats may confuse tenants). Install ductless mini-splits for suites without existing ductwork — they provide independent temperature control for tenants. Consider a maintenance plan to ensure regular service is not forgotten.

Tenant Communication

Provide tenants with: the HVAC equipment model and serial numbers, instructions for thermostat operation, filter change instructions (and provide filters), emergency contact numbers (including after-hours HVAC service), and the location of the gas shutoff valve and circuit breaker panel. Regular communication reduces after-hours emergency calls for issues that could have been prevented or solved by the tenant.
